Northwest Vista College recognizes the importance of organized student organizations as an integral component of the total educational experience of the student. NVC students have the opportunity for membership in cultural, recreational, religious, governance, honor, social, political, and service organizations. Student organizations offer opportunities to enhance students academic and social life on campus!

 

Important Information:

 

***ALWAYS check your ACES EMAIL and ORGSYNC for messages regarding your club's registration, event applications, funding applications, etc.!!!*** 
 

To start a new Registered Student Organization (RSO):


Follow these steps to start a new organization:

Step 1. Download this Official Roster Form and print it out (this is the only roster form that will be accepted!). 

Step 2. Obtain at least 10 current NVC students who have at least a 2.0 GPA and have them record their information on your Official Roster Form (missing info will make a student ineligible!). 

Step 3. Obtain at least 1 current NVC employee to serve as your Advisor (this can be any full or part-time staff or faculty member). 

Step 4. Register your new organization in OrgSync per these steps:

• Click HERE to join OrgSync
• Sign in with your ACES ID
• Fill out the basic profile information (all officers must fill out a profile before the RSO application can be submitted)
• Once you are in OrgSync, click on “Alamo Colleges District” at the top left
• Click on “Organizations” at the top center
• Click on “Register New Organization” at the top right
• Answer the questions, upload your roster, then click "Submit"

Step 5. Inform ALL Key Officers and Advisor(s) that they must complete this Registered Student Organization (RSO) Training and upload a copy of their certificate in their OrgSync Officer/Advisor application. The application is sent via email when you submit your organization's registration request. This is required each academic year. 

Step 6. Check OrgSync and your ACES Email for approval. Once your organization is approved, you may begin to submit applications to receive approval for meetings, activities, funding, etc. (see FAQs below!).


To maintain a current Registered Student Organization (RSO)


RSOs returning in the SPRING - To keep your organization current and approved, you must renew your organization prior to the last business day in February.

Follow these steps to renew your organization:

Step 1. Download this Official Roster Form and print it out (you must use this form!)

Step 2. Obtain at least 10 current NVC students who have at least a 2.0 GPA and have them record their information on your Official Roster Form (missing info will make a student ineligible!).

Step 3. Renew your organization in OrgSync per these steps:

 -Go to your organization’s portal

 -Select “profile” on your organization’s home screen

 -Scroll to the bottom and select “manage profile”

 -Select “update and renew profile”

 -Answer questions and change info as needed, upload your NEW roster, then click “finish”

Step 4. Inform any NEW Key Officers and Advisors that they must complete this Registered Student Organization (RSO) Training and upload a copy of their certificate in their OrgSync Officer/Advisor application. The application is sent via email when you submit your organization for renewal.

Step 5. Check OrgSync and your ACES Email for approval.

 

RSOs returning in the FALL - To keep your organization current and approved, you must renew your organization prior to the last business day in September.

Follow these steps to renew your organization:

Step 1. Download this Official Roster Form and print it out (you must use this form!)

Step 2. Obtain at least 10 current NVC students who have at least a 2.0 GPA and have them record their information on your Official Roster Form (missing info will make a student ineligible!).

Step 3. Renew your organization in OrgSync per these steps:

 -Go to your organization’s portal

FAQs:

 

To conduct a meeting, activity, fundraiser, etc. - go to your Portal in OrgSync and click on Events, then click on the green "Create an Event" button (2 week's notice required). Check OrgSync for approval.

To apply for funding (or access your budget) from the Student Activities Fee (student life acct.) - go to your Portal in OrgSync and click on Forms, then submit the RSO Application for Funding (4-6 week's notice required). Check OrgSync for approval, then check your ACES email for instructions.

To withdraw money from your Club Account (fundraising acct.) to use for a future purchase - verify your balance with your Treasurer, go to your Portal in OrgSync and click on Forms, then submit the RSO Petty Cash Request (2 week's notice required). Check OrgSync for approval, then check your ACES email for instructions.

To use your Club Account (fundraising acct.) to make a purchase under $100 and then get reimbursed - verify your balance with your Treasurer, make the purchase (must be under $100), then submit the original, detailed receipt to Student Life.
