Alamo GPS is an online tool to help students and advisors monitor a student's progress toward degree completion.

Alamo GPS combines

  • the coursework completed

The result is an easy-to-read worksheet that helps see how completed courses count toward degree requirements.

You can also see what courses and requirements to complete to graduate.

This system is designed to aid and facilitate academic advising but is not intended to replace face-to-face advising sessions.

  • GPA Calculator - allows students to assess the impact on GPA for a variety of scenarios and helps students set long-term general goals.

Alamo GPS is available to students who were admitted to the Alamo Colleges since Fall 2009, and students pursuing a degree/major through the Fall 2010 or later catalog.

Students will continue to meet with their academic advisor concerning degree progression.

Alamo GPS may be accessed through ACES; no additional username or password is needed.

  • For students, a current audit will load automatically once Alamo GPS is accessed.
  • Advisors must enter the student’s Banner ID number. 

Students following a catalog prior to Fall 2010 may use the “What-If option” and select a major from the drop-down list, to view a full degree audit. These students may also use the Planner and GPA Calculator functions.

About Alamo GPS

What is Alamo GPS?

Alamo GPS is an easy-to-read web-based degree audit program and an academic advisement tool designed to help you understand the degree requirements for your major.

Alamo GPS looks at the degree requirements of the Alamo Colleges catalog and the completed coursework to produce an easy-to-read audit.

The audit is divided into block requirements of how courses taken or proposed count toward degree requirements.

Checkboxes exist within each block to easily outline what courses and requirements are complete. Alamo GPS also allows students and their advisors to plan for future coursework for your degree.

How do I access Alamo GPS?

Log in to ACES using your usual ID and password.

Alamo GPS is readily accessible through your Homepage and Student tab in ACES.

What are the Benefits of Alamo GPS?
Alamo GPS helps you: 
  • learn the degree requirements for your major - it lists the courses in your major that fulfill the general education requirements, and which courses you need to graduate 
  • identify the courses needed to complete your degree 
  • see which courses you have completed in your major 
  • see what courses you have taken that do not count towards your major 
  • view the grades, transfer credits, or waivers applied to your transcript 
  • confirm your grade-point average (GPA). 
  • find out, before you officially change your major, how completed courses meet the new major requirements 
  • view waivers, petitions and exemptions applied toward degree 
  • estimate how many semesters it will take you to graduate 
  • select the right courses for the next semester or session.
For which students will Alamo GPS produce a degree audit?

Alamo GPS will provide an audit for students admitted under the 2010-11 catalog year or later.

If a student has not had admission or registration activity in the past year, that student will automatically be updated to the most current catalog upon their enrollment at the Alamo Colleges.

Who is my advisor?

Your advisor can be a faculty member in your major or a professional advisor.

Your advisor is listed in the Student tab in ACES or you can check with your college's Welcome Center to identify your advisor.

When can I use my Alamo GPS audit?
Key times to use your Alamo GPS audit are when: 
  • Reviewing your progress with an academic or major advisor. 
  • Creating a list of questions to discuss with your advisor. 
  • Identifying courses that need to be completed. 
  • Selecting courses that meet your degree requirements. 
  • Determining a projected graduation date. 
  • Choosing a major. 
  • Calculating your GPA in various scenarios
Is my degree audit the same as my Alamo Colleges transcript?

No. Alamo GPS is not your academic transcript, nor is it an official notification of completion of degree requirements

Your Alamo Colleges transcript is arranged by each semester and is the final and official documentation of your academic record at the Alamo Colleges.

The online degree audit is a computerized program that displays your academic information based on official requirements as spelled out in the bulletin and other sources.

The online audit is not an official transcript – all colleges require an official transcript to evaluate your credits.

I just submitted an Academic Petition, Change of Major form, Change of Grade form, or added/dropped a class. When will it appear in my audit?

Our system is automatically refreshed and updated once a semester after grades are posted, so any changes made to your account should appear in Alamo GPS the day after grades are processed.

Your advisor may manually update your record at any time.

Please note that it may take days or weeks before a document is received and processed and your audit is ready to be updated.

Do I automatically graduate if everything is checked off?

In order to graduate, you must file an application for graduation with the Enrollment Services / Admissions and Records office.

There is no fee for this application.

Applications may be obtained and filed online through ACES Web Services.

Using the Worksheet Audits

How does Alamo GPS determine which set of degree requirements to use?

Alamo GPS uses a student’s College, Major and Catalog Year to determine the set of degree requirements to use when producing a degree audit.

What is a Catalog Year?

The catalog year determines which catalog/degree requirements students follow to obtain a degree.

Students have five years from the time a major/degree is declared to complete the requirements.

The "What If" function can be used to view how a student’s coursework is used toward a degree under a Fall 2010 or later catalog.

Students wanting to use Alamo GPS audit may update the catalog year to Fall 2010 or later through their college’s enrollment services office.

Am I able to change my catalog year to meet a different set of requirements?

Students may either chose to be audited under their original catalog requirements if it is within the previous five years or the requirements of the catalog active at the time of their graduation.

Students may use the "What If" function to determine which catalog year requirements are most beneficial.

How do I read my degree audit?

Your DegreeWorks report is divided into various sections and is intended to be read from the top down.

Each section contains a specific set of requirements as defined in the official catalog for your degree, major, etc. The Student Header is the first section on the report and contains various academic information.

The next section is called the Degree section and contains graduation requirements.

The audit lists the overall requirements to earn your degree including core and major requirements. Refer to the individual blocks or sections for details on your specific remaining and satisfied requirements.

In-progress courses are listed within the appropriate requirement block and toward the bottom of the audit.  

As you scroll down the report, notice that each section is divided into two columns.

The left column lists all requirements and the right column lists the completed or in-progress courses being applied to satisfy the requirements. If a requirement is unmet, a list of the applicable courses are displayed and an unchecked box ( ) is displayed to the left of the requirement(s).

Note that all requirements are taken directly from the Fall 2010 or later catalog. If you are following an earlier catalog your specific requirements may be different. 

Once all the requirements are met a check mark ( ) or double squiggle mark ( ) is displayed to the left of the Degree title meaning you have unofficially satisfied all of your degree requirements and should apply for graduation.

Please refer to the legend at the bottom of your report for the symbol definitions.

What do different Sections / Blocks of my audit represent?

Student Header: Contains current status information, including Name, Student ID, Classification (freshman/sophomore), Alamo Colleges GPA, College / Degree, Major, TSI status, Academic Status, Holds and if you are an Honors student or a Veteran with benefits. 

Progress Bars – These graphics show the progress toward degree completion. The percentage shown in the Requirement bar is calculated from the blocks designated as “complete” within an audit, not actual degree completion. The Credit bar shows progress toward completion of the credits required for the certificate or degree. 

Graduation Checklist:  At the beginning of the audit, all of the requirements are listed in a single section. As requirements are fulfilled, the boxes next to each requirement are checked off. 

Core Curriculum (AA / AS / AAT): The core course requirements that all students must take, which may vary to a slight degree depending on Degree. Each core area is divided into blocks with a list of all the courses that fulfill the requirements of the respective areas. 

Major Requirements (all degrees): The courses listed in this block include degree requirements specific to the major.  For AAS degrees, all courses are listed in this block. Some majors require that students may be referred to their advisor for assistance and/or approval in selecting courses in the Major Requirements block. 

Courses Not Counted Toward Degree Requirements: A listing of duplicate courses (if there are duplicates, the program will automatically select the one with a higher grade and/or more credit hours) or transfer courses for which there is no exact equivalency. 

Insufficient: Listing of courses where grade earned is not a passing grade.

Not Counted:  Developmental courses.

In-Progress: A listing of courses where a grade is not yet earned.

Does my Alamo GPS audit show all of my coursework, including courses I completed at another university?

The Alamo Colleges must have an official transcript on file showing successful completion of any transfer work and have evaluated the transfer courses before they will appear in Alamo GPS.

All courses transferred in from other colleges or taken in the military should show on your degree audit.

You need to earn a grade of D or better (or a passing (P) grade) in a transfer course for it to be transferred into the Alamo Colleges.

What if my program requires advisor approved electives?

After you and your advisor can choose your approved elective slots, the Enrollment Services / Admissions and Records office must receive written approval from your advisor before this requirement will be complete.

We encourage advisors to use the Note feature in AlamoGPS to convey a student's advisor approved electives.

Once the note has been added by the appropriate advisor and the enrollment services office has been notified, we can apply the approved course(s) and manually complete the requirement.

Are courses I am currently taking applied to my audit?

Courses you are currently taking or have registered for in a future semester are included in your degree audit.

These courses are applied to the requirement block(s) where they meet a specific requirement with a grade of REG for registered.

You will also see them grouped in a separate section titled In-progress near the bottom of the Audit.

Please be aware that the total credit counts listed near the bottom of your audit include anticipated credits.

How do I use Alamo GPS to plan my course schedule?

Requirements with an open, red box at the left are unfulfilled requirements.

To the right of each requirement, you'll see a course or a list of courses that you can complete to fulfill each degree requirement.

Review your unmet requirements and choose the courses you would like to take.

To learn more about the courses and confirm if you have met the prerequisites, click on the underlined course and you will be linked to the Schedule of Classes.

From there you can click on the course title to see a description and the prerequisites for the course.

Can I use Alamo GPS to make my schedule, check course availability or register?

Alamo GPS provides information on degree requirements. It allows you to plan for registration.

However, it does not provide information about specific course offerings for a particular semester.

You cannot use Alamo GPS to make your schedule because it does not include information on meeting dates, times and room numbers.

You also cannot register through Alamo GPS.

However, after you have planned what courses you would like to take, you can open ACES at the bottom of your desktop and enter Web Services where you can check open sections, make a schedule and register.

Troubleshooting the Worksheet Audit

My major is incorrect, what should I do?

Students should meet with their academic advisor to discuss this matter.

If a correction needs to be made, complete a Change of Major form, have it signed by your advisor and return it to the Enrollment Services / Admissions and Records office.

This form is available from your advisor and college advisement office. 

What if there is an error within my degree audit?

An Alamo GPS audit is available for students entering the Alamo Colleges effective Fall 2010. The Alamo GPS audit will only display an active degree audit effective Fall 2010 forward.

Students who feel there may be errors in their audit should see their academic advisor to review program requirements and completed coursework. The first step is to clarify what information you believe is wrong.

Perhaps your audit is not up to date; your advisor has the ability to refresh your audit. If a refresh does not correct the error, the following discrepancies should be brought to the attention of the enrollment services office at your home college.

What should I do if my audit says I still need a course that I know I completed or do not need to take?

Online audits will try to apply your coursework as efficiently as possible.

However, it is an automated system and is still very new, so it is possible that some of your courses may be applied to requirements or sections that were not your original intention.

This may occur because the same course may be used to meet multiple requirements. It is most likely to occur when you first declare a major or change your major since you have fewer completed courses and any remaining requirements.

As you take more courses toward your degree, the audit system will begin to assess and place your courses more accurately. 

I successfully completed a natural science course with a lab, but the lab is pulling into the Courses Below Minimum Requirements section with a grade of NG. Why?

If a student takes a four-credit science course with a lab, there is a single grade for both the lecture and the lab, which pulls in for the four credit course.

The zero-credit lab will appear in the Courses Below Minimum Requirements section with a grade of NG (no grade) to serve as a record that the class was completed.

The NG will not affect your GPA or interfere with any of your degree requirements.

What is the GPA Calculator?

Graduation Calculator: Determines what grades you need to reach your desired GPA upon graduating. The Cumulative Calculator option on the GPA Calculator tab will show what average you will need in your remaining credits to graduate with your desired GPA.

Term Calculator: Sets specific goals for the classes in your current term.

Advice Calculator: Determines how many credits of a specific grade average you need to reach your desired GPA.

All GPA Calculators are an estimate and not a guarantee.
